Subprocessors

EZ Condo Tools uses a small number of established service providers to run the platform. Under privacy law these are our subprocessors: companies that may process your community’s data on our behalf, under contract, and only to provide the service to you.
We have a data processing agreement in place with every provider on this page.
Who processes your data

Some of these providers store or process data outside Canada.
How AI features handle your documents
AI features never run in the background. Nothing is sent to our AI provider unless a manager clicks a specific AI button, and only the item attached to that action is sent.

Resident contact details, member lists, financial and billing records, maintenance history and email recipient lists are never sent to an AI provider. There is no background scanning of your documents.
For the two document features, the file is read once and then discarded. It is only stored if the manager reviews the result and saves it — exactly as an ordinary upload would be.
Anthropic does not use this data to train its models, and deletes it within 30 days. That is a commitment in our contract with them, not only a published policy.
Turning AI features off
Any community can switch AI features off entirely, under Settings → AI in the application. With it off, no content from that community is sent to an AI provider under any circumstances — the request is refused by our servers, not merely hidden from the screen.
Everything else keeps working; documents are filed and notices written manually. The setting is restricted to the account administrator, so it cannot be switched back on by another manager.
Changes to this list
We will update this page before adding a new subprocessor, and will notify account administrators by email at least 30 days in advance. If you would like those notices sent to a different address, let us know.
